1. Information We Collect
Account & profile information
When you create an account or update your profile, we may collect:
- Email address
- Full name
- Password (stored only as a secure hash — never in plain text)
- Optional profile fields: phone number, job title, company, location, short bio, and profile image
- Email notification preferences
- Google account identifier and basic profile information if you choose Google sign-in
Brand briefs & project data
To generate brand identities, we collect and store the information you submit in brand briefs and related workflows, which may include:
- Product or business descriptions
- Target audience and industry selections
- Brand personality, geographic scope, and brand stage
- Naming preferences (phonetic style, name length, prefixes/suffixes, domain extensions, budget)
- Competitor names, inspiration names, and words to avoid
- Session metadata, generated names, slogans, colors, fonts, descriptions, assets, and export history
- Domain names checked for availability and related lookup results
- Favorites, regenerations, and iteration history within a project
Organization & collaboration data
If you use team or organization features, we may collect:
- Organization name and membership roles
- Shared brands, portal listings, and claim requests
- Seat and subscription details associated with the organization
Payment & billing information
Payments are processed by Stripe. We receive transaction records such as payment status, amounts, currency, Stripe customer and subscription identifiers, and credit purchases — but we do not store full payment card numbers on our servers.
Usage, device & technical data
We automatically collect certain technical information when you use Brandivo, such as:
- IP address, browser type, device information, and operating system
- Pages viewed, features used, timestamps, and referral sources
- Authentication session data via secure HTTP-only cookies
- Error logs and performance diagnostics needed to operate and secure the Service
Analytics & marketing data
We use Google Analytics 4 (GA4) and similar tools to understand how visitors and signed-in users interact with Brandivo. This may include custom events such as brief starts, preview views, payments, regenerations, exports, and domain affiliate clicks. You can limit certain tracking through browser settings, cookie controls, or industry opt-out tools where available.
Communications
If you contact support, subscribe to updates, or receive transactional emails (verification, password reset, billing receipts, product notifications), we process the content of those communications and your contact details.
2. How We Use Your Information
We use collected information to:
- Create and manage your account, sessions, and organization workspaces
- Authenticate you and maintain secure login state
- Generate, store, and display AI-produced brand identity results
- Check domain availability and present registrar options
- Process payments, credits, subscriptions, and refunds
- Send service-related emails and notifications you request or that are necessary for the Service
- Improve product quality, reliability, and security
- Run analytics, experiments, and aggregated reporting on feature usage
- Detect fraud, abuse, and violations of our Terms of Service
- Comply with legal obligations and respond to lawful requests
3. How AI Processing Works
Brandivo sends relevant portions of your brand briefs and project context to third-party AI providers (such as Anthropic, OpenAI, and Google) to generate names, copy, color systems, typography recommendations, and related creative outputs. These providers process data according to their own policies and our agreements with them.
Do not submit sensitive personal information in brand briefs unless it is necessary for your project. Briefs are intended for business and branding context, not for confidential personal records.
4. How We Share Information
We do not sell your personal information. We may share information with:
- Service providers that help us operate Brandivo — including hosting, database, email delivery, analytics, payment processing, AI inference, and domain lookup partners
- Organization members when you collaborate in a shared workspace or publish content to a team portal
- Affiliate or registrar partners when you click outbound domain registration links (typically via tracked referral URLs, not by selling your personal data)
- Legal and safety recipients when required by law, court order, or to protect rights, safety, and security
- Business transfers in connection with a merger, acquisition, financing, or sale of assets, subject to appropriate confidentiality protections
5. Cookies & Similar Technologies
Brandivo uses cookies and similar technologies to:
- Keep you signed in using secure, HTTP-only authentication cookies
- Remember preferences and maintain session continuity
- Measure site traffic and product usage through analytics tools
You can control cookies through your browser settings. Disabling essential authentication cookies may prevent you from staying signed in.
6. Data Retention
We retain information for as long as needed to provide the Service, comply with legal obligations, resolve disputes, and enforce our agreements. Project sessions, generated assets, and account data are generally kept while your account remains active. If you delete your account or request deletion, we will remove or anonymize personal information within a reasonable period, except where retention is required by law or for legitimate business purposes such as billing records and security logs.

We use administrative, technical, and organizational measures designed to protect your information, including password hashing, encrypted connections (HTTPS), HTTP-only authentication cookies, and access controls on production systems. No method of transmission or storage is completely secure; we cannot guarantee absolute security.
8. Your Choices & Rights
Depending on where you live, you may have rights to:
- Access, correct, or delete certain personal information
- Export your account or project data where the product provides export tools
- Opt out of non-essential marketing emails via unsubscribe links or account settings
- Object to or restrict certain processing, where applicable law provides those rights

9. International Users
Brandivo is operated from the United States. If you access the Service from other regions, your information may be transferred to, stored in, and processed in the United States and other countries where our providers operate, which may have different data protection laws than your home country.
10. Children's Privacy
Brandivo is not directed to children under 18, and we do not knowingly collect personal information from children. If you believe a child has provided us personal information, contact us and we will take appropriate steps to delete it.
11. Third-Party Links
The Service may link to third-party websites such as domain registrars, payment pages, or partner tools. Those sites are governed by their own privacy policies, not this one.
